Why digital workers in the family office?
Family offices work with small teams, substantial assets and high standards of confidentiality. Yet much of their time goes not into investment decisions but into collecting, reading and booking data. In workshops with family offices, this effort for reporting alone came to 12 to 16 hours a month per office, and more at quarter and year end. This is exactly where digital workers come in.
Reporting without chasing data
Bank statements and custody data are often downloaded, forwarded by email and entered into the reporting system by hand. GP reports arrive by email or sit in manager portals.
The digital worker collects the data from the mailbox, SharePoint or drive, checks which reports are missing, fills in your report template and produces the report. If something is missing, it follows your rules: remind the GP, wait, request a manual upload or continue without that report.
Private markets without retyping
Capital calls, distributions and capital account statements arrive as PDFs from administrators and are still read out by hand. PDF processing is therefore the central bottleneck.
An AI agent within the digital worker extracts amount, date, fund and call type. The orchestrated process checks the values, books the transaction into your consolidation system via booking form or API and takes over the quarterly valuations. Domain logic such as commitment tracking and vintage allocation is part of the model.
Structured due diligence preparation
From the shortlisted fund to the investment committee: the digital worker sends the DD questionnaire (DDQ) to the GP, collects the documents from the data room and follows up on anything missing.
AI agents organise team, strategy, fees, track record, structure, regulatory and ESG information, pre-score against your weighted scorecard, compare performance with category benchmarks, flag red flags and draft the DD report and recommendation memo. The investment decision stays with you.
A platform, not an isolated tool
Quickly built automations solve individual tasks, not the process, and have to be adjusted with every change. A digital worker, by contrast, is built on a platform whose building blocks are largely reusable.
Built once, all offices use the same base. Every further digital worker, for example for administration or due diligence, is largely configuration and costs a fraction of the first one.
Above your systems, not against them
Your reporting and consolidation system stays. The BPMN 2.0 orchestration sits on top and connects banks, custodians, email, file storage and specialist systems via interfaces.
The process therefore runs end to end: the digital worker recognises, decides, acts and escalates, including approvals by the people responsible. It handles queries, reminders and documentation along the way.
Confidential, traceable, independent
Wealth data demands confidentiality. Operation is GDPR-compliant in Germany or on-premise, and the AI models are interchangeable, so there is no vendor lock-in.
Every step is documented and versioned as a process, and every decision can be verified afterwards. Maintenance and model updates are part of operation, so the solution does not become outdated. That fits the governance of an entrepreneurial family.
